How to volunteer for EarpFest:

EarpFest Volunteer Agreement

This agreement outlines the expectations and responsibilities for volunteers participating in EarpFest, a 3-day Wynonna Earp convention 1st-3rd August 2025. By agreeing to volunteer, you acknowledge and accept the terms and conditions laid out in this document. EarpFest aims to provide a fun and safe environment for all attendees, and as a volunteer, you are expected to support that mission through your commitment, behaviour, and professional conduct.

 

 

1. Volunteer Role & Hours

As a volunteer at EarpFest, you will assist in various roles necessary for the successful operation of the convention. These roles may include, but are not limited to, registration, crowd management, panel assistance, sales/merch and general event support.

  • Half-day shifts are up to 5 hours of work, including breaks. (There will be an additional cost for entry pass at reduced rate)
  • Full-day shifts are up to 10 hours, including a lunch break and reasonable rest periods.
  • Breaks will be scheduled at the discretion of the volunteer coordinator based on event needs.

You agree to arrive on time, remain for the full duration of your assigned shift, and notify your shift supervisor in advance if you are unable to fulfill your commitment.

 

 

2. Uniform & Appearance

Volunteers are required to wear the official EarpFest uniform while on duty, which will consist of a Hi-Viz vest or shirt, depending on your role. Uniforms must be kept clean, neat, and properly worn throughout your shift.

 

 

3. Code of Conduct

As a volunteer, you represent the values and integrity of EarpFest. You are expected to:

  • Act professionally at all times when engaging with convention attendees, other volunteers, and staff.
  • Be respectful and courteous to all convention participants.
  • Avoid inappropriate behaviour, including harassment, discrimination, or offensive language.
  • Refrain from consuming alcohol or using illegal substances during your shift or while wearing the volunteer uniform.
  • Ensure the safety and comfort of all convention attendees, including adherence to any crowd control or event safety protocols.
  • Do not engage in any activities that may bring the convention into disrepute, including inappropriate social media posts or public comments.
  • Abide by all event policies and procedures, including emergency protocols, conduct guidelines, and any instructions given by event coordinators or supervisors.

 

 

4. Confidentiality & Non-Disclosure Agreement

By signing this agreement, you acknowledge that during your time as a volunteer, you may have access to confidential and proprietary information, including but not limited to:

  • Event details and schedules.
  • Internal communications and logistical information.
  • Personal data of attendees or staff.
  • Any confidential agreements or contracts related to the event.

You agree to:

  • Maintain strict confidentiality of all information shared with you in relation to the convention.
  • Not disclose or share any confidential information with anyone outside of the event management team or other authorized individuals.
  • Use the information solely for the purpose of fulfilling your role as a volunteer and for the duration of the convention.
  • Return all materials or information provided to you at the end of your volunteer duties.

This confidentiality obligation extends both during and after the event and will remain in effect indefinitely.

 

 

5. Health & Safety

EarpFest is committed to ensuring the health and safety of all volunteers, attendees, and staff. Volunteers must:

  • Follow all safety protocols and emergency procedures provided during your volunteer orientation.
  • Report any hazards or safety concerns to your supervisor immediately.
  • Ensure a safe environment for yourself and others, including assisting in crowd management and supporting the event’s safety measures.

If you experience any health or safety concerns during your shift, you are encouraged to communicate with the event coordinator for guidance.

 

 

6. Volunteer Benefits

As a volunteer, you will receive the following benefits:

  • A complimentary pass to the convention (subject to your shift schedule).
  • Access to volunteer-only areas during your non-shift hours (subject to availability).
  • Free entry to the Saturday Night event. (subject to event policies).

 

 

7. Pre-Purchasing Guest Opportunities

In recognition of the hard work and dedication of our volunteers, EarpFest offers the opportunity to pre-purchase limited guest opportunities (Guest Ops) without requiring the purchase of a standard entry ticket.

  • Volunteers may pre-purchase up to 2 Guest Ops per day, subject to availability.
  • Guest Ops do not include Meet & Greets or other exclusive experiences.
  • Additional Guest Ops may be available for purchase onsite, subject to availability and event guidelines.

 

 

8. Termination of Agreement

EarpFest reserves the right to terminate this agreement at any time if the volunteer:

  • Fails to comply with the terms outlined in this agreement.
  • Engages in conduct that is deemed detrimental to the event’s success, safety, or reputation.
  • Is found to be in violation of any applicable laws or regulations.
  • Requests termination or fails to meet the minimum requirements for their role.
